The printer in the hall runs at the same time every morning. A stack of drawings comes out for the day team; someone trims them to size and hangs the first sheets on the clipboard at the saw station. By midday a second stack lies over that one, because something has changed and nobody has taken the old sheets down. Sawdust works its way under the clip, a corner has gone damp from a coffee cup, and the dimension someone needs is on exactly the sheet that is hardest to read.
Somewhere in that picture the idea usually takes shape to move away from paper, often with someone tired of ringing three times a day for a dimension that is already sitting there digitally. Going paperless rarely works as a decision handed down from above: an email saying “from next month we work without paper” changes nothing at the saw station as long as there is no screen hanging there, nobody knows what should be on it, and the drawing office does not know when to release something. What works is starting step by step, at one spot in the hall.
Start at one workstation
Not the whole hall at once. Choose the station where paper causes the most friction, often the saw station or the assembly table, and one project whose drawing office you know well. One team, one screen. That keeps things manageable if something goes wrong, and within a few weeks you have something to judge rather than debate. Anyone working in prefab or timber frame construction usually starts at the station where a mistake is hardest to undo, because a panel that has been cut is cut for good.
In practice there is more to it than you would think: where the screen hangs so you can see it without interrupting your work, where the power point is, how it survives sawdust and dust, and who switches it on each morning.
Decide what belongs on that screen
Stand at that station and note down what people actually read off the paper. Usually that is less than what is on the sheet: the element number, a few lengths, the positions of the service openings, the cutting list for that element. That list is the requirement for the screen. Anything nobody reads today does not need to be on it, even if it is on the paper sheet.
What people need but can never find on paper is the key finding of that exercise, and also what causes today’s phone calls to the drawing office: a dimension that falls just outside the frame of the printout, a detail that sits in the model but never made it onto the sheet, a position you have to work out rather than read off. Write that down separately, because that is where a screen has more to offer than paper ever could.
Agree a publication point, and what you ask of the drawing office
The drawing office often already publishes towards production or CNC, so a publication step for the shop floor is usually not a new habit but an extension of an existing one. Fix at what point an element is released, who does that, and where the shop floor should look for the latest state, so there are never two places to look.

Keep paper as a safety net, but give it an end date
During the transition, paper sticks around, and that is sensible. Nobody trusts a new screen blindly on day one. One rule keeps the safety net workable without it turning into a second system: the screen is the source, paper is at most a copy of it.
Every sheet that still gets printed carries the version and the date, and old sheets are removed as soon as a new version exists, instead of piling up next to the new one. Agree how long you keep that safety net, for instance until the end of the current project, and when you check whether people are still reaching for it. If the printer at that station keeps running just as hard once the screen is up, that says something about the screen, not the team.
Measure what changes
Count a few simple things, two weeks before the transition and two weeks after: how often someone calls the drawing office from that station for a dimension, how many sheets still come out of the printer, how often people worked on a version that had since become outdated, and how long it takes to find the right element.
Someone does this counting with a tally mark on paper at the station itself, not some complicated system layered on top. Without those numbers the evaluation becomes a matter of opinion, and whoever says loudest that it used to be better usually wins. A few simple counts put something on the table that nobody can argue away.
The pitfalls
A few things cause a paperless transition to fail more often than the technology itself: rolling everything out across the whole hall at once, no clear owner for the screen so nobody steps in when it stays blank one morning, putting the screen next to the paper without stopping the paper flow, so you end up maintaining two systems, and a model that does not contain what the shop floor needs.
Two others matter just as much: no brief moment of explanation at the station, even though ten minutes is usually enough, and quietly giving the drawing office extra work without discussing it beforehand, because then publication stops right when the shop floor needs it most.
Going paperless is not a purchase but a habit you shift step by step, station by station. The first station takes the most effort: everything still has to be worked out, from where the screen hangs to who publishes and who checks it. The second station goes faster, because by then you already know what belongs on a screen like that.
